Name, email, phone — or import it from bluMortgage / Zoho. Up to 8 people on the same file, each with their own documents. The qualification drives a checklist tailored to the file.

Your client uploads from their phone
One secure link, a text-message code, a consent screen. The portal is trilingual (FR / EN / ES) and works from a photo taken on the spot — several photos of the same statement become one clean PDF.

Every document is classified and checked. You decide once per required document, fix anything that needs fixing in the workbench, then export the complete file or send it to OneDrive.

The compliance gap
The risk is not the portal. It is everything around it.
Most brokers run a careful file and then hand the documents to tools that were never part of the agreement — an inbox, a free PDF site, a download folder. Under Law 25 the responsibility for that personal information stays with you, whichever tool touched it.
A sent email is a copy you no longer control
It lives in inboxes, on phones, in mail-server backups and in systems you cannot reach. When your client later asks you to delete their information, that request cannot follow it.
A free PDF site is an undisclosed processor
Uploading a pay stub or an ID to a third-party website to merge or unlock it makes that website a processor of your client’s personal information — one you have not disclosed, assessed or contracted with.
Consent does not stretch to tools nobody named
Your client agreed that you would handle their documents. That is not consent for a service they have never heard of, in a country nobody mentioned.
You need to be able to answer “who saw this?”
Who accessed a document, when, and on whose authority. A mailbox and a download folder cannot answer it. A regulator, or a client, may ask.
The obligation does not transfer
The broker remains accountable for the personal information in the file. A convenient tool does not move that responsibility — it only spreads the exposure.
One disclosed system, end to end

Consent before the first upload
Phone verification, then a versioned consent screen and an automated-processing notice. Recorded per client, per file.
No permanent links
Documents are served through short-lived signed URLs only. Client files are never readable outside your workspace.
Retention and deletion
A nightly job applies the legal retention schedule; deleting a workspace removes every file, document and account.
Subprocessors and data flows are documented and available on request.
